Yes. Death records in the Registrar General’s Department are kept permanently. There is no time limit on requesting a certified copy. As long as the death was registered, we can apply for a certified copy at any time, regardless of how many years have passed. If the death was never formally registered, that is a separate situation we’ll assess and advise on.

Yes. We can search the RGD records using the name of the deceased, the approximate date and year of death, and the district or area where they lived or died. Knowing the NIC number also helps significantly for older records. We’ll do the record search before asking you to pay any government fees — so you’ll know the certificate exists before committing to the full process.

The document issued by the hospital is usually the Medical Certificate of Cause of Death (MCCD) — a medical record, not a civil registration certificate. For legal, insurance, estate, and government purposes, you need an official certified death certificate issued by the Registrar General’s Department. These are two different documents. If the civil death certificate was never obtained after the hospital death, we’ll apply for it through the RGD using the hospital records as supporting documentation.

We understand that estate and insurance timelines can be pressing. Urgent processing at the RGD can reduce the timeline to 2 to 4 weeks in many cases. We prioritise urgent requests and follow up more frequently during processing. If the death occurred in Canada, the Canadian death certificate issued by the province is the primary document. However, if the deceased had assets, property, or pension entitlements in Sri Lanka, you may still need to register the Canadian death with the Sri Lanka High Commission or obtain a certified copy of the Canadian death certificate with apostille for use in Sri Lankan legal proceedings. We can advise on the correct steps depending on what the document is needed for.

For proceedings within Sri Lanka — such as transferring property, probate, or claiming local benefits — a standard certified copy from the RGD is usually sufficient. An apostille is typically needed when the Sri Lankan death certificate will be used in a formal legal process in another country. Unregistered deaths are more common than people realise, particularly in older rural registrations. In Sri Lanka, the process to establish a death that was never registered typically requires an application to the Magistrate’s Court with supporting evidence — such as a medical certificate, witness statements, or other documentation that confirms the death occurred. We’ll be upfront about whether this applies to your situation and what it involves in terms of time and cost before you commit to anything.

The Registrar General’s Department charges LKR 200 to LKR 1,000 per certified copy, depending on whether standard or urgent processing is requested. Apostille processing through the Ministry of Foreign Affairs carries a separate fee. These are government fees paid directly to Sri Lankan authorities — they are separate from our service fee, which is quoted clearly during your free consultation before any commitment is made.
